3 Steps to a Sane Vacation |

| STEP 1 Arrange
Coverage! |

| Arrange for someone to cover your
business. (not the manager!) |
| This person should have
access to to your: Office / Files / Mail / Faxes / v-mail* / e-mail* |
| |
| *if
you do NOT want to give access to your voice mail and e-mail you should
change your |
|
outgoing message on your voice mail out going to include the name and
number of who |
|
they can call. |
| |
|
You should also set your ‘out-of office asst’ on your e-mail. |
| |
| You should go over, with the person
covering for you, all files that may have "activity" while you are gone. |
| |
| Establish whatever compensation the
covering agent will receive! |
| |
| STEP 2: Communicate,
communicate… COMMUNICATE! |
| |
| Communicate with ALL Clients (Under
contract) that you will be out of the office, and who is covering your
business. |
| |
| Communicate with Beryl the following: |
| > Dates you
are out of the office. |
| > Who’s
covering while you’re out. |
| > Any
specific activities that may occur on a file: (special Faxes, pick-ups &
deliveries) |
| > An
emergency phone number. (Optional) |
| |
| We have a special "Vacation Grid" that
will be at the front desk to help our staff direct your calls. |
| |
| When someone calls for
you, and you’re out of town, the staff has will say: |
| "(Agent name) is
out of the office until (return to office date). |
|
His/her calls are being handled by________" |
| |
